Plan a trip
This guide adds a trip to a calendar you already use, so the trip sits beside the rest of your schedule. For a calendar that holds only the trip, with a day-by-day itinerary in the sidebar, create a Travel calendar instead.
- Create a period that runs from your departure date to your return date. Name it after the trip.
- Add a Flight event. In Journey, enter the departure airport, date, and local time, then the arrival airport, date, and local time. Each end of the flight has its own time zone, so an overnight flight arrives on the right date.
- Add Booking to the flight for the airline, flight number, seat, and confirmation number.
- Add a Hotel event with the check-in and check-out dates. Fill Details with the room, price, phone, and confirmation number, and set the hotel's Time zone there. Put the address in Location. See Create and edit an event for copying the confirmation, calling the hotel, and opening its map. If you need an alert before check-out, set a reminder that counts back from the end of the event.
- Add activities, transfers, and the return flight.
- Open Column view to follow the trip from day to day, including across a month boundary.
The period marks the trip's dates. It does not own the events inside it, and archiving the period leaves those events in place.
Changing a flight's time zone keeps the clock time you entered, which can change its duration. For example, changing a 5:05 pm arrival from Tokyo to Bangkok keeps 5:05 pm in Bangkok. To keep the same arrival moment, change the time to 3:05 pm too.
