Use When on your phone
Open the navigation menu at the top right to reach Dashboard, Calendar, Inbox, Discover, Settings, Help, and Send feedback. Settings opens a list of its sections. Every page has Search and Add new beside the menu.
Time zone in the same menu names the zone your times show in. Tap it to choose another. If you chose a fixed time zone and your phone is somewhere else, the calendar asks whether to switch, and a dot marks the menu until you answer.
Menus, pickers, and editors open as sheets from the bottom of the screen. Drag a tall sheet, such as an event, up to fill the screen. Drag it down to stop at half height, and down again to close it. Tap a sheet's handle to close it at any height.
See your schedule
In Calendar, the header shows the calendar switcher and the month. Tap the month to jump to any month and year, or tap today's date at the top right to go back to today. Under the header, a week strip shows a dot for each event and a line for each period, and highlights the days you're looking at as you scroll or swipe. Pull it down, or tap its handle, to see the whole month, and push it up to go back to the week.
The bar at the bottom of the screen switches between three layouts, and also holds filters, Add new, and Ask When:
- List is one continuous agenda. Each month starts with its name and a line across the list, and today's label is brighter than the other days, with its date beside it. Scroll as far as you like; when you scroll away from today, a Today button appears to bring you back.
- Time shows days on a time grid. Swipe sideways to move between days. To see one to six days at once, tap the control between the arrows at the bottom of the screen or pinch the grid. To move an event, touch and hold it until it lifts, then drag it; many phones give a short buzz when it lifts. Let go without moving to leave it where it was.
- Month shows each month's weeks under the month's name, so you can see where one month ends and the next begins. Pinch, or use the zoom buttons at the bottom, to go from the whole year, through two months across and weeks with event names, to three days across. Each pinch moves one step when you lift your fingers. When there's no room for names, events show as dots and periods as lines. With names, a busy week grows tall enough to show every event, and its dates stay at the top as you scroll through it. Tap a day to see its events in a sheet, with Add event at the end.
The layout you pick is part of the page's address, so reloading or sharing the link opens the same layout.
In List, an event shows when it starts and ends, such as "3 - 4 pm". Something that lasts several days, such as a hotel stay or an overnight flight, shows on each day it covers. The first day shows when it starts, the days between show that it continues or how many nights are left, and the last day shows when it ends.
On a Travel, Subscriptions, Birthdays, or Habits calendar, a row under the header names its tracker, such as Trip. Tap it to open the tracker and add to it.
Add or edit an event
Choose Add new, at the bottom of the calendar or at the top of other pages, then Add event or Add period. Tap an event to open it. Changes save automatically. To add a field such as a location or checklist, scroll to the end of the event and tap it.
In List, swipe an event to the left to show Inbox and Archive. Inbox takes the event off the calendar and keeps it as a draft to schedule later, and Archive moves it to the archive. Swipe all the way across to archive it in one move. On a repeating event, Remove takes out only that day and leaves the rest of the series. Both show Undo for a few seconds. Tap the event, or anywhere else, to close it without changing anything. Touch and hold an event for its full menu.
Change calendars
Tap the calendar switcher in the header to open another calendar. Search for a calendar by name, or use Add calendar, and Manage to edit your calendars.
Ask the When agent
Tap Ask When at the bottom right of the calendar, or the chat field on the Dashboard, to chat with the When agent. The chat opens in a sheet over the page. See Use the When agent.
Keyboard shortcuts, right-click menus, and dragging to select are desktop features. Where a help page mentions one, use the event's editor or the menus above instead.
