Track birthdays, subscriptions, habits, and trips

Use a calendar type that adds its own tracker to the sidebar.

Track birthdays, subscriptions, habits, and trips

Four calendar types add a tracker to the sidebar, under the mini calendar. On a phone, the row under the calendar's header shows the tracker's headline, such as how soon the next birthday is; tap it to open the tracker. Choose the type when you create the calendar. The items a tracker creates are ordinary events, so they also appear on the grid and in search.

Birthdays

A Birthdays calendar keeps a list of people and turns each one into a yearly all-day Birthday event.

Add people

  1. Choose Add person. The birthday editor opens beside the list with Name ready.
  2. Enter their Name, then choose Birthday and pick their date, such as Oct 12. It starts on today.
  3. Add the Year if you know it, and the tracker shows the age they're turning.
  4. Choose Add birthday, or just close the editor. Closing it without a name adds nothing.

The title starts as their name, and you can change it, such as Ana's 30th. Changing Name later updates the name inside the title too.

Don't know their birthday yet? Choose Save without date instead, and they wait under Needs a date.

To add many people at once, choose Add several. Type each person on a row, or paste a list with one person per line, such as Sam Rivera, Oct 1, 1996 or rows copied from a spreadsheet. A blank row is always ready at the end. People without a birthday wait under Needs a date. Choose Add 3 people (the button counts them), and press ⌘Z to undo the whole batch.

Choose someone under Needs a date to add their date.

See who is next

The list starts with the next birthday, shown larger: the age if you know it, the weekday it falls on, and how soon it is. On the day, it says Today.

After them, everyone else is listed by how soon their birthday is. Once there are six or more, they're grouped into This week, Coming up (the next 30 days), and Later.

Click a person to go to their next birthday on the calendar and open it, where you can change the name, the date, or the year.

A new event you add on a Birthdays calendar starts as a birthday. Add one from the calendar itself, such as with Add event in the + menu, and the editor asks for their name and uses the day you picked. A birthday can also live on any other calendar: choose Birthday in an event's Type row.

Birthday reminders

Birthday events remind you by email a week before and by push notification a day before. To change them for one person, edit Notify in their event. To change them for people you add later, edit the Birthday type in Settings → Event types. See Set a reminder.

Subscriptions

A Subscriptions calendar tracks what you pay for and puts each renewal on the calendar.

Add a subscription

While the calendar has no subscriptions, pick a service under "What do you pay for?", or choose Something else. After that, choose Add a subscription. The subscription editor opens beside the list.

  1. Type the name, such as Netflix. As you type, matching services appear. Picking one also sets its usual billing and color.
  2. Under Billing, enter the Price, such as 17.99. It starts in your Currency from Settings → General. To use another currency, click the symbol in front of the price, such as $, and search by name or code.
  3. Under Renews, choose Monthly or Yearly.
  4. Under Next charge, choose when it next charges, from today to one month or year out.
  5. Choose Add subscription, or just close the editor. Closing it with no name and no price adds nothing.

Don't know the price yet? Add it without one. It waits under Needs a price, outside your totals, until you enter a price.

For a free trial, choose Free trial next to Next charge, which then reads Trial ends, and pick the day it ends. The first charge lands that day, and until then the tracker shows "Trial ends" with the date and leaves it out of your totals.

The calendar adds a repeating charge on each renewal date. If it charges on the 29th, 30th, or 31st, monthly renewals skip months that do not have that day.

Read the totals

The top of the tracker shows what you spend in a year. Click it to switch to the monthly amount. The line under it shows the other amount and how many subscriptions you pay for. Below that, one bar shows each subscription's share of the year, and a bar for each month of this year shows what you spend then. Point at a month to see its total and what charges then.

Subscriptions are grouped into Free trials, with what they would cost a year if you keep them, Next 30 days, with that window's total, Later, and Needs a price.

Totals use the currency most of your subscriptions use, or your Currency from Settings → General when two are tied. A subscription in another currency is not counted, and a note under the totals says so. Prices are never converted between currencies. Changing a subscription's currency keeps the number you entered, so $15.49 becomes €15.49.

On a Subscriptions calendar, Add widgets also offers Upcoming charges and Spend outlook.

Change or end a subscription

Click a subscription to go to its next charge on the calendar and open it. Under Billing, change the Price, whether it Renews monthly or yearly, and the Next charge. Moving the next charge moves every charge to that day of the month or year.

To stop it, set Ends to On a date and pick the day of its last charge. Charges up to that day stay on your calendar, and the line under the fields says when it ends and how many charges are left. Choose Keeps renewing to undo it. To remove a subscription entirely, archive it from the event's menu; press ⌘Z to undo, or restore it from Settings → Archive.

Ended subscriptions are hidden from the list. To show them, choose the ended count next to Add a subscription, such as 2 ended.

Habits

A Habits calendar tracks things you mean to do on a schedule, such as meditating every day or a workout plan, and keeps a run for each one.

Pick habits to start

On a Habits calendar with nothing on it, tick the habits you want, then choose Add habits:

  • Meditate, Read, Stretch, and Drink water: every day, at no set time
  • Journal: every evening at 9 PM
  • Push / Pull / Legs: Push on Monday, Pull on Wednesday, Legs on Friday, at 6 PM
  • Upper / Lower: Upper body on Tuesday, Lower body on Thursday, at 6 PM
  • Full body: Monday, Wednesday, and Friday at 6 PM

To start with your own, choose Add your own.

Add a habit

  1. Choose Add habit. The editor opens beside the tracker with the name ready.
  2. Name the habit, such as Read 20 pages. It repeats every day from today, at no set time.
  3. Under Days, turn off the days you'll skip, or choose Weekdays. Under Time, keep Any time or pick a time. For other schedules, such as every other day, choose More repeats.
  4. To get a reminder, choose a time under Remind, such as At 8 pm. It isn't sent on days you've already checked the habit off or skipped it.
  5. Choose Add habit, or just close the editor. Closing it without a name adds nothing.

You can also click a day or a time on the calendar. On a Habits calendar, a new event starts as a habit that repeats every day unless you pick another repeat. To make a habit on another calendar, choose Habit in an event's Type row.

Check off today

The top of the tracker shows how many of today's habits are done, how many this week, and a bar for each of the last eight weeks. A full green bar is a week where you did everything. A day with nothing due reads Rest day.

Under it, each habit has a row with a mark for each day it's on this week, under the days of the week, and its run, such as 13 days. Today's column is shaded.

  • A green check is done.
  • A grey dash is skipped.
  • A thin ring is missed.
  • A solid ring is due and can be marked.
  • A dashed ring isn't due yet.

Today lists what's due today, and Missed lists what you didn't mark earlier this week. When today is done, a line names the next one, such as "Next: Legs, Fri 6 pm". Click a check, in the list or the row of marks, to mark it done, and click a done check to undo it. Hover over a habit to choose Skip, or Mark done for one you missed. A habit with a time can't be marked before that time.

Click a habit's name to open it and change the name, days, or time.

Runs

A habit's run counts the times in a row you marked it done: days for a daily habit, weeks for a weekly one, and times for one on several days a week. A skipped day keeps the run going without adding to it. Today's habit doesn't break the run while it's still open.

On other calendars

Add the Habits widget to Main's sidebar or the dashboard to see every habit in one place: your habits on any calendar, plus any repeating event on that calendar you added Streak to.

Travel

Set the trip dates first. The calendar opens in Week view, and its views stay inside those dates.

Add to the trip from the tracker: Flight, Stay, or Add plan. Until something is booked, the tracker asks What's booked? with the same three choices. Each opens the editor in its own mode, such as Add flight, starting today during the trip or on its first day otherwise. A stay runs to the end of the trip. The tracker lists the itinerary day by day.

Each item sits under the day it happens, at the local time where it happens. A 7 pm dinner in Paris shows at 7 pm on its own day, even when your time zone is Tokyo. The calendar grid still shows it in your time zone.

Each trip day has a time zone: where you are staying that night, otherwise where your last flight landed, otherwise your own. When an item's time zone differs from its day's, its time names the zone, such as 7 pm GMT+2. An item saved without a time zone uses its day's.

Flights, stays, and plans you add from the tracker use their day's time zone, and the editor shows it in Time zone. Events you add on the calendar grid use the time zone the grid shows. A stay takes the time zone of its check-in day; change it in the hotel's details. Pick a flight's airports in Journey, and it departs in the first airport's time zone and lands in the second's.

A repeating event shows once, under Repeating above the days, such as "Kids medicine" with "Every day at 8 am". When its time zone differs from the trip's on any of its days, it names the city, such as "Every day at 8 am Paris time", which stays true across a clock change.
