  3. Create and edit an event

Create and edit an event

Create an event, add details, undo a change, and move an event between calendars.

Create and edit an event

Create an event

  • In Week view, double-click a time slot, or drag across a time range.
  • In Month view, double-click a day, or drag across several days.
  • From anywhere on the calendar, press ⌥N.
  • Type the day and time into a new event's title, such as lunch Friday at 1, and press Enter.
  • On a phone, choose Add new, then Add event.

Type a title, then set the calendar, date, and time. To use another time zone, open When and choose Time zone. Choose a type to set the appearance and the details the event offers. Changing the type can also change whether the event is all-day, so check the dates afterward. In When, choose Make all day on the time field to remove its clock time; the All day menu adds a time again.

When you type a new event's title, words that name a day, a time, a repeat, or a type are underlined, such as "Lunch Friday at 1", "Standup every Monday", or "Tyler's birthday". The fields they would change show the suggested values with a dashed underline, including changes a type makes to the date, time, or reminders, and the bottom of the editor counts them. Press Enter, choose Add event, or press ⌘↵ to use them and add the event in one step, so "Tyler's birthday tomorrow" and Enter makes a yearly birthday. To use them and keep editing, press ⌥U. To change one, click its row, the sparkle in the row's corner, or a suggested type chip, and choose the suggested or current value, or Edit…. Reminders a suggestion would replace stay in Notify, struck through. The new event moves on the calendar to its suggested time, so you see where it will be added; drag it somewhere else and it stays there, and the date and time words leave the title. Point at the count to list every suggestion. Dimmed words leave the title when their suggestion applies, and a Title row first among the fields shows the title the event will be saved with, so "Standup every Wed and Fri at 11am" shows "Standup". The row follows your choices: keep a field's current value or keep a word as text, and it updates or disappears. A time on its own keeps the event's day, and a day and a time are read together even with other words between them, as in "Lunch tomorrow with Sam at 1pm". A day on its own makes the event all day, except a meal: "Lunch tomorrow" is at noon, breakfast at 8 AM, brunch at 11 AM, and dinner at 7 PM. A repeat that names days, such as "every Monday", moves the event to the next of those days. A birthday repeats every year. Words that name the type stay, so "Tyler's birthday" keeps its title. Click an underlined word to change it: pick another day, time, length, repeat, or type, and the title and the suggested fields update. To keep a word as part of the title, click it and choose Keep as text, or choose Dismiss to keep them all.

To open an existing event, click it.

Move or copy an event

Drag an event to another day or time. A tinted outline shows where it will land. Keep the pointer near the top or bottom edge to scroll. Hold it at the calendar's left or right side to move through the dates: Week view steps one day at a time and keeps going while you hold. Press Escape to cancel before releasing. On a phone or tablet, touch and hold an event until it lifts, then drag it; a quick swipe still scrolls or changes days.

To choose a destination with the keyboard, open the event menu and choose Move to date…. Use the arrow keys to change the day or time; the calendar scrolls or changes dates when needed. Page Up and Page Down, or the placement bar's previous and next buttons, move between date ranges. In Week view, choose Time or All day to change the destination region. The placement bar shows the date, time, and time zone. Press Enter or choose Place to save, or press Escape to cancel.

Hold Option (Alt on Windows) while dragging one event to create a copy. You can also choose Copy to… in its menu. The original stays in place. Copying a repeating occurrence creates one separate event without a repeat or completion history. Duplicate keeps its existing behavior of opening a new event in the editor.

Saving and undo

The editor ends with two buttons: Add event (⌘↵, or Enter in the title) adds the new event to the calendar and closes the editor, and Save draft (⌥I) puts it in the Inbox without a time, so you can schedule it later. Once you've typed or changed anything, closing the editor any other way, such as pressing Esc or clicking outside it, adds the event to the calendar as Add event does; choose Undo on the notice to take it back. If you close it without changing anything, the empty event is discarded. If the page reloads first, the editor opens again with what you typed.

Once an event is added, When saves each change as you make it, and closing the editor keeps everything. The Calendar row shows which calendar the event is on; choose it to move the event to another calendar. To move a saved event to the Inbox, open the Event menu and choose Move to… › Inbox, or press ⌥I.

Press ⌘Z to undo a change and ⌘⇧Z to redo it. Undo covers creating, editing, moving, resizing, and archiving events and periods, including bulk actions. When keeps your last 10 changes and clears them when you reload the page.

Add details

Notes and Notify are always in the editor. The rest are buttons at the bottom of the editor: choose one to add that field. You can remove a field you added.

Repeat. Open When and choose Repeat to repeat the event daily, weekly, monthly, or yearly. See Repeat an event.

Notify. Sends a Push or Email notification at a time you choose, or lists the event in your daily digest. See Set a reminder.

Notes. An agenda, links, or anything else you want to keep with the event. Notes support Markdown.

Checklist. Tasks you can check off.

Links. Links related to the event, each with a URL and an optional name.

Photos. Up to 12 photos from your device. Choose Add photos, or drop or paste images into the open field. The first photo is the cover until you choose Make cover from another photo's menu. A repeating event's photos are shared by every repeat. Adding photos needs a connection; photos you already opened still show offline. Photos never appear on public calendar pages.

Video call. A meeting link with an optional passcode. Use Join call to open it from the event. Add dial-in adds a phone number and PIN.

Buffer. Open When and choose Buffer to reserve time before and after the event for travel or preparation.

Labels. Tags for a client, project, or topic. See Organize events with labels.

Location. Where the event happens, such as an address or a venue. Choose Open in Maps beside the address to open it in Apple Maps on an Apple device, or Google Maps elsewhere. When the address has a map preview, choose Expand map for a larger map with another Open in Maps button. An address When cannot locate has no preview.

Streak. On a repeating event, counts how many occurrences in a row you check off, with a check for each of the latest ones.

Flights and hotels

Flight events have a Journey card for the departure and arrival airports, dates, times, and time zones. Add Booking for the flight number, airline, terminal, gate, seat, baggage, and confirmation number.

Hotel events have a Stay card for the check-in and check-out dates and times. Add Details for Hotel, Room, Price, Phone, and Confirmation. Set Time zone at the bottom of the Details form. Put the hotel's address in Location.

When Details is closed, the hotel name appears only if it differs from the event title. Tap or click the phone number to call the hotel, or the confirmation number to copy it.

Move an event to another calendar

Choose another calendar in the editor's calendar field. You need permission to edit both the event and the destination calendar.

Set an event aside

Choose Move to Inbox, or press ⌥I, to take an event off the calendar without losing it. The event becomes a draft in the Inbox with its length, details, and reminders intact.

Events you cannot edit

Events from subscribed and shared calendars are read-only. Locked events cannot be moved or archived until you unlock them. If you drag one, it stays where it is and a short note by the pointer says why and what to do, such as "Locked: Unlock it to move it".

Can the editor open in the sidebar instead of a popover?

Yes. In Settings → General, set Open event details in to Sidebar.
