Connect Claude or another AI app
When has an MCP server. An AI app that supports remote MCP connectors, such as Claude, can use it to read your calendars and add or change events and periods for you. This is separate from the When agent, which works inside When.
Connect an app
- Open Settings → Integrations. Under AI apps, copy the Server address, the address of When's MCP server.
- In your AI app, add a custom connector, sometimes called an MCP server, and paste the address.
- When the app opens the sign-in page, sign in with your When account and allow the app.
- Ask the app about your calendar. The first time, it gives you a link to When instead of an answer. Open it.
- Choose what the app can do. Read calendars is on by default. Select Allow access, then return to your AI app and ask again.
An app has no access to your calendars until you allow it in When. Only approve an app you just added. Select Decline to turn it away. If the app doesn't show the link, open Settings → Integrations, where it shows Waiting for your approval, and select Review.
What a connected app can do
You choose which permissions to grant:
- Read calendars: list your calendars, search them, find free time, and read events and periods. Free time uses timed events and booking blocks on your own and shared calendars. All-day events leave those hours open, even when marked Busy.
- Create and edit: create and update events and periods.
- Delete items: archive events and periods. Each archive takes a second, confirming step, and you can restore archived items from Settings → Archive.
The app sees the calendars you can see. On a subscribed calendar, it sees only what that calendar shows publicly.
Change or disconnect an app
Open Settings → Integrations and select Edit beside the app. Its switches change its access right away. The name comes from the app; change it to something recognizable, such as “Claude for work.”
Select Disconnect to block new requests immediately, including requests using an unexpired token. It does not undo completed actions. To let the same app back in, select Edit, choose its access, and select Allow access again.
Review activity
AI app activity shows the last 30 days of requests and access changes, including completed, failed, and refused requests. Event contents and tokens are not stored in this history. “No result recorded” means When saw the request start but could not record how it ended.
App names are labels. Services that share an OAuth client and sign-in share one connection and its permissions.
